Job Title: HR Systems and Operations Coordinator

Reports To: Human Resources Manager, USA

Status: Full-time, Hourly, Non-Exempt

Salary Level: Level M

Location: Byron Center, MI (hybrid)

PURPOSE:

The HR Systems and Operations Coordinator will support and enhance HR operations, focusing on the maintenance and improvement of HR systems (HRIS), processes, and applications to ensure efficient, accurate, and compliant HR services. This role will work closely with the HR Manager and other team members to execute essential HR functions effectively.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

HRIS Management: Assist in overseeing and maintaining the functionality of the organization's HR Information System (HRIS), including system configuration, database management, troubleshooting, and implementation of updates and improvements in coordination with the HR Manager.

System Customization & Optimization: Support the customization of the HRIS and other systems to meet organizational needs, ensuring integration with payroll, benefits, recruitment, and other HR modules, under the guidance of the HR Manager.

User Access & Security: Manage user permissions, access levels, and system security settings, ensuring data integrity and confidentiality by implementing best practices in HRIS security as directed by the HR Manager.

HRIS Training & Support: Provide training to staff on HRIS usage and functionality. Develop user guides, training materials, and documentation to support system users, while also troubleshooting and providing support for system-related issues.

Data Reporting & Analysis: Generate, interpret, and distribute key HR reports (e.g., headcount, turnover, performance metrics, etc.) in collaboration with the HR Manager. Assist in preparing government compliance reports and conducting regular audits of HR data for accuracy.

HR Operations: Facilitate the processing and documentation of employee lifecycle changes, including new hires, transfers, promotions, terminations, and salary adjustments. Ensure all HR files and records are updated accurately and timely.

Compliance Audits: Conduct regular audits of HR files and records to ensure compliance with organizational policies and legal requirements, reporting any discrepancies to the HR Manager for resolution.

Process Improvement: Assist in evaluating and recommending improvements to HR operational processes to enhance efficiency, collaborating with the HR Manager and team to implement necessary workflow changes or system upgrades.

Other Duties: Perform additional HR-related tasks as assigned to support overall HR operations and objectives.

• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

• Ability to collaborate effectively across teams, including HR and other departments.

EDUCATION AND EXPERIENCE:

• 1-2 years of experience in human resources, HRIS administration, or related HR operations roles.

• High school diploma or similar required; Associate degree or higher preferred in Human Resources, Information Systems, or related field.

• Experience in HRIS implementation is preferred.

• Experience in managing HRIS or similar HR-related systems required.

• Strong computer and technical proficiency, with the ability to quickly learn new software applications and systems.
