PURPOSE
The Administrative and Volunteer Program Coordinator plays a key role in coordinating the International Relief Manager (IRM) Program and providing comprehensive administrative support to the International Disaster Response (IDR) team. This position ensures the IRM Program’s effectiveness by providing and maintaining a pool of highly trained volunteers who bring strong project management skills to World Renew’s disaster response efforts. By providing focused support and effective coordination, the coordinator ensures that operational needs are met efficiently, driving forward World Renew's mission and organizational goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES
1. International Relief Manager (IRM) Program Coordination
· Oversee the IRM Program, ensuring volunteer recruitment, training, and support to sustain an engaged and ready team.
· Continuously improve IRM program policies and procedures to enhance disaster response capabilities.
· Maintain and update IRM learning modules, including developing specialized learning pathways to build IRM capacity.
· Coordinate recruitment, training, and orientation for IRMs in collaboration with IDR team and other relevant departments.
· Lead planning and organization for IRM conferences, orientations, speaking engagements, and communications (newsletters, blogs).
· Support Safeguarding compliance and Core Humanitarian Standard implementation.
· Develop feedback mechanisms and initiatives to support volunteer morale.
· Support IDR with donor relations activities, including public speaking and networking opportunities.
2. Administrative Coordination
· Manage and streamline administrative processes to support IDR’s organizational and team objectives.
· Maintain the project database with updated information on new projects, changes, financial transactions, performance metrics, and external contacts.
· Assist project managers with document management and ensure the shared document library is organized and current.
· Track team training opportunities and facilitate shared learnings.
· Support the IDR Director in tracking team goals and implementing action plans.
· Prepare periodic and customized reports for internal distribution, including for staff meetings and newsletters.
· Coordinate with finance on the setup and closure of disaster appeal funding codes and assist in tracking payments and wire transfers.
· Organize and support IDR team meetings, including agenda preparation, minute-taking, and follow-up on assignments.
· Facilitate travel arrangements, visa applications, expense submissions, and general logistics for IDR and IRM activities.
· Actively participate in World Renew organization-wide teams, committees, and working groups.
· Represent IDR in building-related tasks, events, and committees within CRCNA/World Renew.
3. Other Duties
· Perform additional tasks as assigned by the IDR Director.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
· Strong commitment to World Renew’s mission and values, with active engagement in a local Christian community.
· Experience in volunteer management, project coordination, or human resources, ideally within humanitarian or international development contexts.
· Proficiency in designing and delivering training programs focused on disaster response, volunteer engagement, or community support, with an emphasis on adult learning principles.
· Excellent organizational, communication, and interpersonal skills with proven multitasking and prioritization abilities.
· Advanced proficiency in Microsoft 365 (particularly Excel); familiarity with data management tools such as Access is beneficial.
· Capacity to work independently, exercise critical thinking, and respond flexibly to changing priorities.
· Proven experience collaborating with local churches and community organizations for disaster response efforts.
· Ability to work effectively within teams and build partnerships for successful disaster response outcomes.
· Strong attention to detail and ability to support a cohesive IDR vision within World Renew.
· Demonstrated commitment to fostering an inclusive, equitable, and welcoming work environment, promoting gender equality and social justice in all programming and organizational efforts.

EDUCATION AND EXPERIENCE
· Bachelor’s degree in a relevant field preferred; a community college diploma is required.
· Minimum of three years of experience in volunteer management or human resources; administrative experience in a non-profit or disaster response context is highly beneficial.
· Prior experience in international disaster and humanitarian responses, with a focus on surge capacity and multi-sector interventions, is highly preferred.
· Knowledge of SPHERE and Core Humanitarian Standards is advantageous.
· Cross-cultural competence and fluency in another language are assets.
